The legal bit, in plain words.

IN SUMMARY
  • We collect what’s needed to run a board and nothing else: your boards, the order strokes were made in, and — if you have a staff account — the email address that signs you in.
  • We never film a room, never listen in the background, and never scan what you write to sell you anything.
  • People who join a board with a code stay anonymous. We don’t ask children for anything.
  • We don’t sell data, we don’t run advertising, and there are no third-party trackers on this site or in the product.

This summary is written to be read. The sections below are the version that governs — if the two ever disagree, the detailed sections win.

Privacy

1. What we collect

Board content — the strokes, shapes, notes and text drawn on a board — and the stroke history that lets a session be replayed. If your organisation uses staff accounts, we hold the name and work email address associated with that account, and a record of which boards it created. On a panel we store a device identifier so a display can be licensed and updated. Separately, if you send us an enquiry through a form on this website, we hold what you typed into it: your name, work email, company, country and your message.

2. What we never collect

No images or video of any room: the board application does not access a camera on any platform. No background audio: a microphone is used only while a person is actively dictating, or during a replay they have chosen to narrate, and that audio is never stored. No behavioural analytics on the content of boards, no advertising identifiers, and no third-party tracking scripts.

3. Children and schools

Pupils join a board using a short code shown on the display. That process asks for no name, no email address, no photograph and no device registration, and we do not knowingly collect personal data from children. Where a school acts as data controller, Chalktap acts as processor under the school’s instructions, and we will sign a data processing agreement on request.

4. The assistant

When someone asks the assistant a question, the question and the region of the board it refers to are sent to our assistant service to produce an answer. That material is not retained after the answer is returned and is not used to train models. The assistant is never invoked on its own — it responds only to a deliberate action, and it cannot place anything on a board without a person accepting it.

5. Where data is held

Boards are written to the device first, so a session continues without a network. Where synchronisation is enabled, board data is held in the region agreed for your deployment and encrypted in transit and at rest. Synchronisation can be disabled entirely, in which case boards never leave the displays they were made on. Enquiries sent through this website are held separately from board data, in the United States, and are used only to answer you.

6. Who we share with

We do not sell personal data. We use a small number of processors — hosting, error reporting, and the assistant service — each bound by contract to process data only as instructed. We will name them on request, and we will tell affected customers before adding a processor that touches board content.

7. How long we keep things

Boards and their stroke history are kept until someone deletes them; deleting a board deletes its replay. Account records are kept while the account exists and for a short period afterwards for billing and audit. Dictated audio is never kept. Assistant prompts are not retained after the answer. Enquiries are kept until the enquiry is closed.

8. Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it, and we will respond within one month. If your organisation manages your account, ask them first — they can usually act immediately. Complaints can be raised with us at the address below, and with your local data protection authority.

Terms of use

1. Licence

Chalktap is licensed, not sold. A licence covers the displays and users agreed in your order, allows installation on those displays and the desktop, web and companion clients used with them, and continues while the agreement is in force.

2. Your content

Everything drawn on a board belongs to you or your organisation. We claim no ownership of it, we don’t use it to promote Chalktap, and we don’t use it to train models. We access board content only when you ask us to — for example while diagnosing a fault you’ve reported.

3. Acceptable use

Don’t use Chalktap to break the law, to harm people, or to hold material you have no right to hold. Don’t attempt to reverse-engineer the software, resell it without an agreement, or use it to record people covertly — the product is deliberately built to make that difficult, and doing so ends the licence.

4. Availability

The board application runs locally and does not depend on our services to write. Synchronisation, the assistant and replay sharing are online services; we aim to keep them available but do not promise uninterrupted service unless a service level is agreed in writing.

5. Liability

Nothing here limits liability where the law doesn’t allow it — including for death or personal injury caused by negligence, or for fraud. Otherwise our liability is limited to the fees paid in the twelve months before the claim, and we are not liable for indirect or consequential loss.

6. Ending an agreement

Either side may end the agreement at the end of a term with notice, or immediately for a material breach that isn’t fixed within thirty days. If it ends, you can export your boards for ninety days afterwards, and we then delete them.

7. Governing law

These terms are governed by the laws of the United Arab Emirates, and the courts of Dubai have jurisdiction — unless your order names a different law and jurisdiction, in which case the order wins.
